Using Appointment Slots In Google Calendar

Google has recently introduced a new feature in their favorite Google Calendar app. Originally, you could only use Google Calendar as your personal journal of what is coming. Google than added features allowing you to share calendars, so you could, for example, let your family or colleagues know what are your plans.

Now Google introduced new (so far experimental feature) I stumbled upon just the other day. It is called Appointment slots and at the first look it seems like a simple booking system.

How to create an appointment slot

Calendar

In Google Calendar, you have now two options when creating new appointment: event and appointment slots.

By selecting appointment slots, you are directed to further options. Here you can set how long the appointment will be, whether it is one session or session consisting of many parts, bookable separately.

The calendar feed will contain events and assignments from all of your Canvas calendars, including reserved Scheduler appointment slots. Once you have subscribed to the calendar feed, you can remove the calendar feed at any time from Outlook.com by clicking the more options icon and selecting the remove option from the menu. You can also set Repeat for repeating bookings, like consultation hours or office hours, perhaps.

How can people book your appointment?

You are given an (incredibly long) link that leads to your booking page. Unfortunately, only people who are using Google Calendar can book your appointment slots. Others will be shown a log-in/sign-up screen.

Appointment slots are really just a basic feature, and while useful for infrequent users, it is far, far from ready for business use. The largest limitation being the dependency on users being signed in Google Calendar.

Google Calendar Appointment Slots

Need to set up a conferencing schedule for students and/or parents? Use the Google Calendar appointment slots feature. See directions below. If you need a 1:1 tutorial drop by the U32Library.

STEP 1:
Go to your Google Calendar and click on a day to create an event. In the pop-up window, select Appointment slots (see top right of window). Name your appointments and enter the length of time for each appointment. Click the Edit details to further customize the appointment slots.
STEP 2:
Customize your appointment slots here by adding a title, time block, location and description. If this is a recurring appointment slot select the Repeat box and see Step 3 for further instructions. Share the blue link to your Google Classroom, via email, or on a website. Don't forget to SAVE.

STEP 3:
For recurring appointment follow the below prompts after selecting the Repeat box in Step 2.

STEP 4:
After saving your appointment slot yourGooglecalendar will show the blocked window of appointment time.
STEP 5:
The user who visits appointment slots page will see the available spots. They can click on a time slot that fits their schedule and sign up. Below if a view of my personal email calendar.
STEP 6:
Your calendar view after guests have signed up for appointment slots.
